KrispCall iOS App – User Guidance Manual

Welcome to KrispCall for iOS 👋


This manual is designed to help you get started quickly and make full use of all the features available in the KrispCall iOS app. KrispCall enables seamless calling, messaging, and team collaboration from a single platform.


1. Getting Started


How to Download & Use KrispCall iOS App?


  1. Download KrispCall from the Apple App Store.




  1. Open the app after installation.
  2. Allow the required permissions when prompted:
  • Contacts – to sync and manage contacts
  • Microphone – to make and receive calls
  • Notifications – to receive call and message alerts


Login


  • Log in using your registered email address and password.
  • Verify your account by entering the OTP sent to your email.
  • Complete the onboarding steps to access all features of the app.



2. Home / Inbox


Inbox Overview


The Inbox is the central hub for all conversations and calls. Conversations are categorized as:


  • Open
  • Pending
  • Closed



Swipe Actions


Swipe Left on a conversation:

  • Pin
  • Call



Swipe Right on a conversations:

  • Close
  • Mute notifications



Notifications


  • Notifications appear even when you are viewing another conversation.
  • Tap a notification to open the related chat or call directly.


3. Phone Numbers Management


View & Switch Numbers


  • Tap the Number Selector on the top bar to view all assigned numbers.
  • Select a number to view messages and call logs specific to that number.



Copy Number


  • Copy a phone number instantly to share it externally.


Number Sharing (Team Collaboration)


Number Sharing allows multiple team members to use the same phone number for calls and messages.


Benefits


  • Enables multiple agents to handle conversations
  • Improves coverage and team efficiency


Steps to Share a Number


  1. Go to Numbers.
  2. Tap the Settings (⚙️) icon next to the number.
  3. Open Shared With.
  4. Tap Add.
  5. Select the team member.
  6. Tap Save.



Steps to Remove Shared Access

  1. Swipe left on the team member’s name.
  2. A Delete icon will appear.
  3. Tap Delete to remove shared access.



4. Calling Features


Make a Call


  • Use the Dialer or select a contact to start a call.


Receive a Call


  • Incoming calls appear as in-app alerts or system notifications.
  • Choose to Answer or Decline the call.



Active Call Controls


  • Mute / Unmute microphone
  • Speaker on / off
  • Hold / Resume call
  • End call



Call Recording


  • Record active calls for quality review or future reference (subject to compliance).


Quick SMS During Call


  • Send an SMS to the caller while the call is ongoing.


Call Transfer


Internal Transfer


  • Transfer an active call to another team member within the same workspace.


External Transfer


  • Transfer calls to an external phone number when required.




5. Messaging


Send & Receive Messages


  • Open a conversation and type your message to send.
  • Messages are delivered and received in real time.


Message Actions


Long-press on a message to:

  • Reply
  • Copy
  • Delete
  • Pin


6. Conversation Management


Pin Conversations


  • Swipe left on a conversation to pin it at the top of the Inbox.


Contact Information


  • View customer details including:
    • Contact information
    • Call history
    • Assigned phone number
  • Pin important contact details for quick reference.


Close Conversations


  • Swipe right to move a conversation to the Closed tab.


Internal Reply (Team Collaboration)


Internal Reply allows team members to communicate privately within a conversation.


Key Points


  • Internal replies are visible only to team members.
  • Customers cannot see internal replies.
  • Ideal for internal discussions, guidance, and collaboration.


Steps to Use Internal Reply


  1. Open the Inbox.
  2. Select the required conversation.
  3. Press and hold on the message you want to add an internal note to.
  4. Tap Reply Internally.
  5. Type your internal message.
  6. The internal reply will appear just below the selected message.



Search in Conversation


  • Tap Search and enter keywords to highlight relevant messages.


7. AI Agent


AI Assistance


  • Get smart reply suggestions based on conversation context.
  • Automatically summarize long conversations.
  • Helps agents understand customer intent faster.



8. Contacts


Access Contacts


  • Sync your phone contacts with KrispCall.


Import Contacts


  • Import multiple contacts directly into the app for calling or messaging.




Contact Tags


Contact Tags help categorize contacts for easier identification and follow-ups.


Steps to Add Contact Tags

  1. Go to Contacts.
  2. Select a contact.
  3. Tap Tags.
  4. Add or select the relevant tag.
  5. Tap Save.



Contact Actions


  • Call contacts
  • Send messages
  • Block or unblock contacts


9. Call Logs & Voicemail


Call Logs


  • View:
    • Incoming calls
    • Outgoing calls
    • Missed calls
  • Call back directly from call history.


Voicemail


  • Listen to voicemail messages.
  • Manage or delete voicemails as needed.


10. Blocking & Security


Block & Unblock Contacts


  • Block contacts to stop receiving calls and messages.
  • Unblock contacts to resume communication at any time.


11. KYC & Account Status


  • Complete Basic KYC to unlock full features.
  • View KYC status banners:
    • Incomplete
    • Rejected
  • Follow on-screen instructions to resubmit documents if required.


12. Inbox & Workspace Management


Workspace Switch


  • Switch between multiple workspaces from the Inbox.
  • Each workspace maintains separate:
    • Phone numbers
    • Conversations
    • Members


13. Team & Member Management


Admins can manage team access and roles directly from the app.


Member Roles


  • Assign roles such as Admin or Member.


Manage Team Members


Steps to Manage Team Members


  1. Go to Numbers.
  2. Tap Settings.
  3. Select Members.
  4. Tap the three dots (⋮) next to a member’s name.
  5. Choose Change Role or Deactivate Member.
  • Deactivated members lose access to calls, messages, and workspace data.



14. Password & Security


Change Password


  • Change your account password from Settings to keep your account secure.



15. Sound & Notification Settings


  • Customize notification sounds for:
    • Calls
    • Messages
    • Voicemails
  • Enable or disable notifications based on your preference.



16. Help & Support


  • Access Help & Support from the Settings menu.
  • Contact support for technical or account-related assistance.
  • View FAQs and troubleshooting guides.
  • Log out of the app securely when required.
